Dear Payroll Managers and Timekeepers,


We are excited to announce two significant changes as part of the Timekeeping Refresh Project that will streamline and enhance our timekeeping processes in the new UKG Pro WFM system. These changes—Function Access Profile adjustments and the retirement of the Timekeeping Manager Assignment Application (TMAA)—will be implemented in May 2025 and will primarily impact Payroll Managers and Timekeepers.


Benefits of the Function Access Profile changes and the retirement of TMAA include:

Efficiency and Standardization: ITS will be able to create more efficient and standardized configurations across departments, reducing the amount of configuration steps and opportunities for error.
Realignment of Roles: These changes will help realign specialized roles within ITS and core responsibilities within departments, which will allow departments to focus their time and personnel on timekeeping and payroll duties rather than system configuration.
Risk Mitigation: By centralizing user configuration, we can better mitigate risks associated with overpayments or underpayments, contributing to a smoother, more reliable payroll process.


What to Expect:

Function Access Profile Changes

Function Access Profiles are a set of permissions and restrictions that determine which components users can access and the types of functions they can perform. With edits to the Function Access Profile for Payroll Managers and Timekeepers, we are able to streamline and centralize key configuration processes within WFM, shifting responsibility for updates and changes from individual departments to ITS. 


Payroll Managers and Timekeepers will still be responsible for reviewing configuration and requesting changes when needed, however, by shifting more duties to ITS, we can reduce departments’ administrative burden when performing specific timekeeping actions, like payroll cycle changes and pay rule updates. For the end user, this means a more consistent and automated experience with reduced manual intervention, increased accuracy in pay, accruals, and other critical functions. Retirement of the Timekeeping Manager Assignment Application (TMAA)

The new system, UKG Pro WFM, will allow the campus to use the Reports To field for Manager visibility. Multiple Assignments, which is new functionality in WFM, has a Reports To field for each position that allows managers access to the employee’s timecard. This functionality will simplify the manager assignment process and eliminate the need for Access Control Numbers and TMAA. More details about this change can be found here
