Dear Payroll Managers and Timekeepers,
On April 24, 2024, ITS is consolidating the accrual profiles in Kronos by eliminating the accrual level in the naming convention. 49 accrual profiles are consolidating down to 15. This change will simplify employee configuration changes as you no longer need to change accrual profiles when milestones trigger level changes. You will not need to complete any actions as a part of this change.
The change starts at 2:30 pm and finishes at approximately 4:30 pm. Users can access Kronos and perform their normal functions during the change; however, we ask that Payroll Managers and Timekeepers refrain from making any changes to accrual profile assignments during this window to avoid confusion.
Once implemented, the new accrual profiles will be:
- BW 99-BX-SX - Sick only
- BW 99-K8-RA
- BW CX-RX-SX-TX
- BW CX-RX-TX - Sick with CT
- BW PA
- MO
- MO non-8
- MO non-8 - Sick only
- MO PX
- MO PX non-8
- STHL BW 99-EX-NX
- STHL BW CX-HX-SX
- STHL BW HX - Sick only
- STHL MO
- STHL MO non-8
The mapping of existing accrual profiles is provided in a table at the end of this communication. The updated Accrual Profile Naming Convention Guide can be found here.
As a note, the following accrual profiles are not changing:
BW Limited
BW Limited with CT
STHL BW Limited
No Accruals
Kronos’ internal logic will be updated to default accrual profile assignments for newly hired or rehired employees. As a reminder, Payroll Managers/Timekeepers should always review new employees’ configurations for accuracy.
Internal logic will also be updated for vacation max notifications. Employees will continue to receive vacation max notifications as usual, but their pay rule schedule (BW vs. MO) must match their accrual profile unless they are assigned the ‘No Accruals’ profile.
Please submit a Timekeeping ticket at ithelp.ucsb.edu if you have any questions.
