Dear Timekeepers and Payroll Managers,
This communication only pertains to departments that are using schedules in Timekeeping. When we transition to Workforce Management (WFM), schedules will not automatically populate. To reduce the amount of scheduling work departments will need to perform, we created schedule patterns that met the following criteria:
- 5 consecutive days within a work week (Su-Th, M-F, Tu-Sa)
- 4 consecutive days within a work week if the pattern is 4/10
- Start times and end times are the same for all scheduled days
- Schedule is for 40 hours (full-time)
We were able to map 577 full-time employees whose current schedule meets the pattern criteria. In WFM, schedules will start on 5/11/2025 with an end date of Forever.
Unfortunately, 152 employees could not be assigned to a pattern template as:
- There is a gap of days within the work week
- The start times and end times are not the same for all scheduled days
- The schedule is not complete and is missing days
- The schedule is part-time
After Go Live, departments will be responsible for setting up schedules for:
- Employees who didn’t fit a pattern (attachment, first tab)
- Student employees
- New employees (imported into Timekeeping after 4/13)
Departments will also be responsible for schedule updates that may occur between 4/13 and 5/11 for employees mapped to a pattern (attachment, second tab).
Recommended Action:
- Review and document schedules for employees who were not mapped to a pattern.
- Document schedule changes for employees that were mapped to a pattern.
- Focus on employees in K8 or restricted pay rules first.
We recommend completing this review by May 9th.
